How to Source Apparel From China: Fabric, Fit, and MOQ

A great sketch does not guarantee a wearable garment.

Apparel is one of the easiest products to underestimate. The basic idea may be simple: a T-shirt, hoodie, dress, uniform, tote, pajama set, or workwear item. But the finished result depends on fabric construction, weight, hand feel, shrinkage, color, wash/finish, pattern, grading, stitch type, seam allowance, trim, label, packing, factory process, and the fit reference used by the person approving the sample.

The factory cannot read your brand mood board. It needs a product record that explains what the garment should look and feel like, how it should fit, what may vary, and what must not be substituted without approval.

Textile, labeling, and market boundary: This article is general apparel-sourcing education, not textile testing, flammability, children’s-product, product-label, care-label, country-of-origin, legal, customs, certification, or market-compliance advice. It does not determine whether a garment needs or has a label, test, certificate, flammability result, care instruction, origin determination, or market permission; it does not assess product safety or compliance. Start with a garment brief, not a style photo

A photo helps show direction. It does not control a pattern or a production line. Write a brief that identifies the garment version you intend to buy.

Use a style code that follows the garment through sample, purchase order, fabric order, pattern, measurement sheet, label artwork, packing list, and shipment. Names like “new black hoodie” create trouble the moment a second black hoodie appears.

Build a fabric and trim map

“100% cotton” is not a full production instruction. Two fabrics with the same stated fiber content can differ in construction, weight, finish, hand feel, opacity, shrinkage, color response, and sewing behavior.

The FTC’s U.S. textile guidance shows why fiber-related information, origin, responsible-business identity, and records must be handled with product/market specificity. 1 For sourcing, the practical lesson is to link every claim and artwork item to the actual fabric/trim and garment version under review.

Plan MOQ as a production equation

MOQ is rarely one number. It can be different for fabric, dye lot, print, embroidery, trim, color, size, packaging, and garment assembly. Ask the factory to break the constraint apart.

Dye or color Is the color stocked, matched, dyed to order, or tied to a minimum lot? How will the approved color reference be used?

Trim Which zipper, label, button, drawcord, patch, packaging, or hangtag has a separate supplier MOQ?
Size run What size ratio can the factory pack/produce efficiently, and what happens when a particular size is below the normal run?
Factory line What labor/process changeover or batch size affects the sewing/assembly minimum?
Embalaje Which carton count, polybag, insert, label, retail package, or master carton requirement shapes the order?
Cost option Can the buyer use stock fabric/color/trim, share a material run, simplify a decoration, consolidate styles, or accept a future replenishment plan without silently changing the product?

Low MOQ can be useful, but it can also mean limited fabric control, leftover material, a higher unit cost, less efficient cutting, or a factory that is not ready to support repeat production. Ask what the lower quantity changes—not only what price it produces. Screen apparel suppliers for the work they actually do

A supplier may have attractive samples but outsource key steps without explaining the control system. Map the production path.

A factory tour can be useful. It should not replace a sample, measurement record, and production control plan for your own garment.

Use a sample ladder to control fit

Fit should be approved in stages. A first sample proves very little beyond the first attempt.

When reviewing fit, do not write “looks good.” Write “front length at point X,” “sleeve opening feels tight on the fit reference,” “collar lies unevenly after wash,” or another observation that the pattern and sewing team can act on.

Freeze measurement points and tolerances

A size label does not define fit by itself. Two factories can label the same garment “M” and make different products. Control the measurement method, not just the finished number.

FTC care-label guidance says the U.S. care-information question must consider the complete garment, not isolated components. 2 The same production logic applies to fit: a fabric, stitch, trim, lining, print, and wash can interact in ways a standalone swatch cannot show.

Control color, wash, print, and finish separately

A factory may match a color on a screen and miss it in daylight. A print may look correct before washing and crack later. A garment can look fine before pressing and change after it is packed. Define the review reference and condition.

Treat any material, print, wash, label, or factory-process change as a change request. It may affect fit, appearance, care/label review, product claims, cost, lead time, and what a customer receives.

Allocate textile and market-review questions early

Apparel often carries several questions at once: fabric description, care information, product label, intended user, children’s-product/sleepwear context, flammability, country-of-origin, advertising copy, and e-commerce information. Do not leave them for the final packing day.

CPSC guidance shows that apparel/textile considerations can change with category and garment construction. 3 4 This is a reason to sort the facts early—not a conclusion about any particular garment.

Write a production-quality and packing plan

A final garment inspection should compare units with the approved production reference, not with a memory of the first sample.

Use MOQ to plan your first order, not to skip controls

A lower first order may limit color options, fabric choices, decoration, and size ratio. That does not excuse a missing tech pack, unapproved fabric, or vague fit approval.

The objective of a first order is not to prove you can get the lowest price. It is to create a product record that lets you repeat the garment without rediscovering every problem.

Apparel sourcing checklist

Before production, approve the garment brief, fabric and trim map, style/measurement chart, fit/sample stages, grade/size plan, MOQ breakdown, color/print/wash reference, label/artwork review allocation, factory process, quality checkpoints, pack-out, change-control rule, and production reference sample. Reopen review when the fabric, trim, dye, finish, pattern, size, label, market, or factory changes.

A reliable apparel order is built from a controlled fit and fabric record. The photo comes last.
